EVENT COORDINATOR (being Divine Soul Events)
1. The Event Coordinator:
a) takes no responsibly for damage, loss or theft of your persons or property;
b) has the final say of a Stall Holders allocated space;
c) is not required to refund any funds received as a result of:
i) stall holder’s non-appearance on date of event;
ii) cancellation of your stall less than 2 weeks prior to the event;
iii) Covid 19 related closures or restrictions.
d) will notify you of ‘Bump In and Out’ information prior to the event;
STALL HOLDERS (being exhibitors, therapist, healers, psychics)
- If you have not declared products and services within your original application, you must not display, sell or provide these products/services without prior written approval from the Event Coordinator. This avoids duplication of products/services and then you will be asked to remove undeclared products/services by the Event Coordinator.
- If you are a therapist/healer offering natural/specialised therapies, it is your responsibility to have the necessary qualifications and certificates for your modality. Divine Soul Events are not responsible whatsoever for the authenticity of qualifications of the service you purport to provide.
- Agree to the use and promotion of videos, photos and social media content for Divine Soul Events Wellbeing & Psychic Festivals.
- Are required to provide appropriate personal and or Public Liability Insurance Certificate at the time of submitting your application.
- Are liable for any damage caused (intentional or unintentional) to the venue, persons, products, property or equipment whilst participating at the event.
- Agree to guarantee all goods against defect and have a refund/replacement policy in case of customer dissatisfaction.
- Agree to retain their products and/or services in their allocated area.
- Are responsible for the removal of all your rubbish, packaging, food or drinks. Any costs incurred by us in the specific disposal of such materials will be passed on to the stall holder, failing to comply will result to not being accepted for future events.
- If you are allocated a space with electricity. All extension cords and/or power boards must be professionally tested and tagged before use at our event.
- Using electricity you are responsible to ensure WHS standards are maintained, and all leads must be secured and covered to ensure the safety of exhibitors/stall holders and visitors.
- For safety reasons please place boxes under your tables and out of public view. Please also ensure all table coverings are to reach floor levels.
- Your space is to remain set up for the duration of the Event’s advertised times. At the conclusion of the Event, we ask that you kindly pack-up and clear your space, as doing so beforehand shows unprofessionalism. Stall holders who pack up before the advertised finishing time, will be unable to trade at future Divine Soul Events.
Divine Soul Events supports both cash and card facilities. You are responsible for your own cash security and we are not responsible or liable for any loss or theft incurred.
Please note that ATM access is available at most, but not all venues.
FEES
Once your application is approved, you will be sent an invoice, prompt payment will secure your allocated Stall Holder space.
PAYMENT IS STRICTLY 7 (SEVEN) DAYS FROM DATE OF INVOICE if payment is not received within this time frame, your allocated space will be offered to the next available stall holder.
ALL cancellations must be emailed no later than two weeks prior to the event.
Cancellations after this time are non-refundable and non-exchangeable as the funds will have already be allocated to venue hire, promotional and administration costs.
A no-show or late cancellation notice prevents otherwise prospective stall holders being allocated a space. An empty space is very obvious and distracts from the feel of the event. A no-show or late cancellation will not be eligible for a refund. All stall holder spaces are prepaid and no monies will be collected on the day of event.
CODE OF CONDUCT
Stall Holders must not conduct their business in a manner that could bring the reputation or integrity of the event into disrepute.
Divine Soul Events reserves the right to stop or remove any act, display item or person deemed to be inappropriate, bullying or detrimental to the integrity of the event.
Divine Soul Events does not tolerate harassment of any kind.
DISCLAIMER
Information is given by the organiser in good faith and to the best of their knowledge at that point in time. Any subsequent changes cannot be taken as cause to cancel the booking, likewise no omission or error on the part of the organiser/event coordinator can be held against them.
The Event Coordinators will act at all times in the best interest of the Event and in doing so, may from time to time alter the details of these Terms & Conditions if/when required.
In the case of any breach of the Terms & Conditions, the Event Coordinator reserves the right to remove items or people from the event and/or revoke the contact without prejudice to the right to recover any monies owed to the Event Coordinator.
The Event Organiser is not liable for any unforeseen external circumstances that affect and/or cause non or inadequate performance pre/during or post event, occurring beyond its control.
In the event of postponement or abandonment by the Event Coordinator the Stall holder shall not have any claim against the Event Coordinator. Any failure to settle a dispute related to these terms and conditions will be resolved in a Court of Law.
The payment of your invoice is confirmation that you have agreed to the Terms and Conditions of Divine Soul Events.
